Documents in RM

DM users know that a Document Profile contains summary information about electronic and paper documents and that this information forms the basis of any search performed on the document. RM modifies the default Paper and Electronic Document Profiles to add new File-related fields. These new fields allow users to file a document and to see other information about the File that holds the document.

When Filing Documents, remember these rules:

  • A Document can only be assigned to one File Part at any one time.

  • Documents can be assigned only to open or reopened File Parts, not to closed File Parts.

  • Documents are managed by the Storage Management Actions, Cutoff/Rollover Actions, Disposal Actions, and Disposal Authorities from their File Part. RM also allows you to assign Disposal Actions for individual Documents.

  • Some security-related features of RM Documents differ from the standard DM security. Depending upon your system configuration, a Document's security may be independent of its File Part's security, or it may inherit security settings when it is filed.
